ASPROM takes your privacy very seriously. We only use your personal information to administer your membership and to provide the publications and communications that are part of the benefits of membership. This document explains what personal data we hold about members, how we use it and who has access to it, and what you can do if you have any concerns about our use of your personal information.

What does ASPROM use your personal data for?

We only use your personal data for the following purposes:

  • to administer your membership and inform you about ASPROM events;
  • to send you ASPROM publications;
  • to send you emails about ASPROM and other news and events related to ASPROM’s aims and scope, if you wish to receive them;
  • to inform the Committee’s decisions about the running of the Association.

What is ASPROM’s lawful basis for using personal data?

Our lawful basis for using personal data is the legitimate organisational interests of the Association. In doing so, we consider that there is no overriding prejudice to you and that you would reasonably expect us to use your data in this way.

What personal data does ASPROM hold?

We only hold personal data that you have supplied to us, either when you joined ASPROM or subsequently, or through your subscription payments, grant applications, or bookings for events — namely:

  • your name, address, telephone number, and email address;
  • your Gift Aid preferences and donations;
  • your contact preferences;
  • details of your applications for grants and attendance at ASPROM events.

The ASPROM website uses cookies to improve your experience of the site and to remember your choices. We do not use cookies to generate personalised data about your use of the site. For further information, please see our Cookie Policy (see below).

Our website contains links to other websites that are outside our control and are not covered by this Privacy Policy. If you access other sites using the links provided, the operators of these sites may collect information from you that will be used by them in accordance with their privacy policy, which may differ from ours.

Who has access to personal data?

Your personal information is held and used only by the officers of the Association who are responsible for administering your membership, donations, grant applications, and attendance at events, namely the Membership Secretary, Chairman, Treasurer, Hon. Secretary, Publicity Officer, and Events Officer. We do not share your personal information with any third parties.

How long do we keep personal data?

We will retain your personal data for as long as you remain a member of ASPROM. If you cease to be a member, we will only retain your personal data for as long as is reasonably necessary. The rights described below continue to apply throughout this period.

You can, at any time:

  • ask to see all the personal data that ASPROM holds relating to you;
  • ask for any errors to be corrected;
  • ask us to stop using your personal data while an objection from you is being resolved;
  • ask for your personal data to be deleted from our records;
  • change your contact preferences or opt out of receiving email communications from ASPROM.
